Inviting people

Invite teammates from Settings, choose their abilities, and share the setup link by email or by hand.

You invite people from Settings → Administration → Team. You need the admin ability. People without it see "Managing the team requires the admin role." on that page.

Invite a teammate#

  1. Open Settings, select the Administration tab, and select Manage on the Team card.
  2. Under Members, select + Invite teammate….
  3. Enter the person's Name and Email.
  4. Tick the Abilities they should have. See Abilities. You can leave all of them unticked; everyone is a member of the company by default.
  5. If the address belongs to a company domain that has verified single sign-on, a Local (non-SSO) account (?) checkbox appears. See Password-exempt people.
  6. Select Invite.

The person appears in the member list with the status pending until they set a password. An email address can belong to only one person in the whole deployment. If it is already taken, the page shows "A person with email … already exists".

Every invitation carries a one-time setup link that is valid for 7 days.

  • Email sent. The page shows "Invitation emailed to address." The email names you and your company and contains the link. The link is built from your deployment's public address.
  • Email could not be sent. The invitation still exists. The page shows a Setup link panel: "We couldn't send the invitation email. Share this link with the new teammate so they can set their password. It won't be shown again after you leave this page." Select Copy and send the link to the person yourself.

Email delivery uses the email settings of your company (Settings → Administration → Company). A company with no email settings always gets the Setup link panel.

If you leave the page before copying the link, use Resend invite (see Managing people) to generate a new one.

What the invited person sees#

The link opens a Set your password page ("Choose a password to finish setting up your account.") with two fields, New password and Confirm password, and a Set password button.

  • If the passwords differ, the page shows "Passwords don't match. Please re-enter them."
  • If the link has expired, was already used, was replaced by a newer invite, or is not a real link, the page shows one message for every case: "This setup link is invalid or has expired. Ask your admin for a new invite link." The page never says which of these applies.
  • On success the page shows You're all set and a Go to sign in button. The person then signs in with their email and the new password.

Setting a password changes the person's status from pending to active. A setup link works once; after it is used it stops working.
