Team access and Team

Limit who can see a knowledge base to certain Teams, and set which Team it belongs to.

A knowledge base has two separate Team settings.

Team access: who can see it#

The Team access card controls who can see the knowledge base.

  • By default a knowledge base is open to everyone in the company. The card says "Open to everyone."
  • When you scope it to one or more Teams, only members of those Teams, the knowledge base's owner, its editors and administrators can see it and read it. For everyone else it does not appear in the list or in search, and its page and export are not available.

If you can manage the knowledge base (as the owner, an editor or an administrator), the card says "Everyone in the company can see this Knowledge Base unless you scope it to one or more Teams below." and shows a check box for each Team.

  1. Tick the Teams that should have access, or clear them all to open it to everyone again.
  2. Save and Cancel appear once you change a selection. Select Save; a confirmation reads "Saved." Select Cancel to discard the change.

If your company has no Teams, the card says that no Teams exist. Other people see the card as read-only, listing the Teams the knowledge base is scoped to, or "Open to everyone."

Team: where it belongs#

The Team field in the Details card records which Team the knowledge base belongs to, for cost and reporting. It does not limit who can see it. The field shows "No team" until you choose one.

  1. Select Edit next to Team. Only the owner, editors and administrators see it.
  2. Choose a Team, or No team.
  3. Select Save, or Cancel.
