Running a guided review

Review a Coworker's feedback and conversations, adjust its instructions and Knowledge Bases, and record the outcome.

The guided review brings everything a Supervisor needs into one page: the feedback the Coworker has received, the conversations behind it, its instructions and its Knowledge Bases. Start one with Start review on the Reviews view of Governance.

You need to be the Coworker's Supervisor or have the admin ability to change anything here. Other people who can see the Coworker can open the page, but the controls are unavailable and messages tell them what is required. If you cannot open the review at all, the page says "This review isn't available — you may not be this Coworker's Supervisor or an admin." with Back to Governance.

The page#

The page is headed with the Coworker's name, its role and its Supervisor. The Review type switch sets which review you are recording: Monthly review or Quarterly deep review.

Feedback#

The Feedback section is headed "Feedback since the" followed by the date and "review", for the last review of this type, or "Feedback on record" if there has not been one. It shows how many thumbs-up and thumbs-down the Coworker received, then the flagged items: each with its date, the verdict, any flag and comment, and (view transcript), or (no linked conversation) when there is none. Select an item to load its conversation. The first flagged item opens for you.

The transcript#

The conversation appears with each message's role. The message you selected is highlighted, and messages after it are dimmed and marked "not included in the replay below".

Test the instructions below against this transcript lets you replay that exchange with the instructions as you have currently edited them. Select Test with current instructions (Testing… while it runs). The reply appears under Alternate response. It is a real response, nothing is saved, and no one else sees it. If the replay cannot be run, the page says so and you can try again.

Instructions#

Instructions are layered onto the Coworker's Job Description in every answer it gives. Edit the text, then select Save instructions. The replay tests your draft whether or not you have saved it, and an Unsaved note reminds you when you have not.

Knowledge Bases#

Knowledge Bases lists the ones attached to the Coworker, each a link to the Knowledge Base, or "None attached." Use Remove beside one to detach it. Select Attach a Knowledge Base, choose one from — choose a Knowledge Base —, then select Attach, or Cancel.

Finish the review#

Under Finish review:

  1. Choose an outcome: Healthy, Watch, Sunset or Due. Healthy is selected to begin with.
  2. Write a Summary.
  3. Select Save review. It records the review with today's date and returns you to Governance, where it appears under Recent reviews.

Select Cancel to leave without recording. If saving fails, the page says "The review couldn't be saved. Try again."
