Editors and ownership
Who can manage a knowledge base, how to add editors, and how to remove a knowledge base.
Every knowledge base has one owner and, optionally, additional editors.
Who can do what#
| You can | If you are |
|---|---|
| Read documents, search, export | Anyone who can see the knowledge base |
| Add, edit and delete documents; add, sync and remove web sources; change Team access and the Team | The owner, an editor, or an administrator |
| Add and remove editors; make the knowledge base human only or allow Coworkers again; remove the knowledge base | The owner or an administrator |
Holding the manage_knowledge_bases ability lets you create knowledge bases. It does not let
you manage the ones you do not own and are not an editor of.
Add an editor#
An editor can work inside a knowledge base but cannot add or remove editors, change the human-only setting, or remove the knowledge base. In the Details card, the Editors list shows who the editors are, or "No additional editors."
- Select Add an editor.
- Search for a person under Search people… and choose them.
- Select Add, or Cancel.
To take an editor away, select Remove next to their name. Only the owner and administrators see these controls.
Remove a knowledge base#
- At the bottom of the page, in Remove this knowledge base, select Remove knowledge base.
- In the confirmation, select Remove knowledge base.
The knowledge base's documents and indexed content are deleted, and Coworkers using it lose access to it. Only the owner and administrators see this section.
